HOW TO PREPARE EFFECTIVELY FOR EXHIBITION SHOWS

PREPARATION IS KEY In our experience, many exhibitors can be so keen to see their stands built and to turn up at a show, that sometimes the groundwork (planning and preparation) can be forgone. We spoke to some of our most successful clients who offered their recommendations on how to maximise the key months prior to an exhibition show. They drew from many years of personal experiences at shows and had some key insights to share. We have put together a checklist inspired by their thoughts and experiences so you will be well prepared as you begin your own event preparation. YOUR CHECKLIST Maximising your event preparation *Precision and Focus – Clearly outline and articulate your objectives, expectations, audiences and budget Objectives – Have you ensured your objectives are SMART (strategic, measurable, attainable, relevant and time-bound) *Time – Start your preparation as early as possible, it’s never too early. The more time you have available the more options are feasible. DON’T leave things to the last minute. *Planning and Preparation – Have a good schedule in place so you can itemise issues in their level of importance and execute well *Team – Pick the correct people within your team, brief them accurately and keep the team at the event focused on desired outcomes and engaged *Partners – Always choose reliable, experienced suppliers to deliver your vision *Build on previous experiences (before, during and after events) – Identify lessons learned based on social media interactions and more traditional feedback observations. Build these findings into your future planning *Messaging – Have a focus or hook that can be clearly communicated to your target audience (Who are your key stakeholders – media/clients?) to create cut through and interest, encouraging engagement and attendance/participation *Buffer – Have some leeway in your budget and timelines as some aspects will inevitably take longer and/or cost more money than anticipated *Flexibility – Be prepared to adapt and take advantage of unanticipated opportunities and effectively navigate unexpected challenges.
